Article Structure

The DHL Waybill form serves as a crucial document for anyone looking to ship packages domestically or internationally. It provides essential information about the shipment, including the sender's and recipient's details, payment options, and specific service requirements. The form is designed to be user-friendly, allowing shippers to specify whether charges will be billed to the sender, the recipient, or a third party. Additionally, it includes sections for declaring the shipment's contents, weight, and dimensions, which are vital for customs clearance and accurate billing. Shippers can also indicate whether they require insurance for their packages, along with the insured value. This waybill is non-negotiable, meaning it cannot be transferred to another party, ensuring that the shipping contract remains intact between the shipper and DHL. Furthermore, the form highlights various service options, such as express delivery and special handling, which may come with additional fees. Understanding how to accurately fill out this form can streamline the shipping process and help avoid delays or complications during transit.

DHL EXPRESS
TERMS AND CONDITIONS
OF CARRIAGE
(”Terms and Conditions”)
”Shipment” means all documents or parcels that travel under one waybill and which may be carried by any
means DHL chooses, including air, road or any other carrier. A ”waybill” shall include any label produced by
DHL automated systems, air waybill, or consignment note and shall incorporate these Terms and Conditions.
Every Shipment is transported on a limited liability basis as provided herein. If Shipper requires greater
protection, then insurance may be arranged at an additional cost. (Please see below for further information).
”DHL means any member of the DHL Express Network.
IMPORTANT NOTICE
When ordering DHLs services you, as ”Shipper”, are agreeing, on your behalf and on behalf of anyone else with
an interest in the Shipment, that the Terms and Conditions shall apply from the time that DHL accepts the
Shipment unless otherwise agreed in writing by an authorised officer of DHL. Your statutory rights and
entitlements under any defined service feature (for which additional payment has been made) are not affected.
2. Unacceptable Shipments
Shipper agrees that its Shipment is acceptable for transportation and is
deemed unacceptable if:
it is classified as hazardous material, dangerous goods, prohibited or
restricted articles by IATA (International Air Transport Association),
ICAO (International Civil Aviation Organisation), any applicable
government department or other relevant organisation;
no customs declaration is made when required by applicable
customs regulations; or
DHL decides it cannot transport an item safely or legally (such items
include but are not limited to: animals, bullion, currency, bearer form
negotiable instruments, precious metals and stones, firearms, parts
thereof and ammunition, human remains, pornography and illegal
narcotics/drugs).
3. Deliveries & Undeliverables
Shipments cannot be delivered to PO boxes or postal codes. Shipments
are delivered to the Receivers address given by Shipper (which in the
case of mail services shall be deemed to be the first receiving postal
service) but not necessarily to the named Receiver personally.
Shipments to addresses with a central receiving area will be delivered
to that area. If Receiver refuses delivery or to pay for delivery, or the
Shipment is deemed to be unacceptable, or it has been undervalued for
customs purposes, or Receiver cannot be reasonably identified or
located, DHL shall use reasonable efforts to return the Shipment to
Shipper at Shippers cost, failing which the Shipment may be released,
disposed of or sold by DHL without incurring any liability whatsoever to
Shipper or anyone else, with the proceeds applied against service
charges and related administrative costs and the balance of the
proceeds of a sale to be returned to Shipper.
4. Inspection
DHL has the right to open and inspect a Shipment without prior notice
to Shipper.
5. Shipment Charges & Billing
DHLs Shipment charges are calculated according to the higher of actual
or volumetric weight and any Shipment may be re-weighed and
re-measured by DHL to confirm this calculation. Shipper shall pay or
reimburse DHL for all Shipment charges, storage charges, duties and
taxes owed for services provided by DHL or incurred by DHL on
Shippers or Receivers or any third party’s behalf and all claims,
damages, fines and expenses incurred if the Shipment is deemed
unacceptable for transport as described in Section 2.
6. DHLs Liability
DHL contracts with Shipper on the basis that DHLs liability is strictly
limited to direct loss only and to the per kilo/lb limits in this Section 6.
All other types of loss or damage are excluded (including but not limited
to lost profits, income, interest, future business), whether such loss or
damage is special or indirect, and even if the risk of such loss or damage
was brought to DHLs attention before or after acceptance of the
Shipment since special risks can be insured by Shipper. If a Shipment
combines carriage by air, road or other mode of transport, it shall be
presumed that any loss or damage occurred during the air period of
such carriage unless proven otherwise. DHLs liability in respect of any
one Shipment transported, without prejudice to Sections 7-11, is limited
to its actual cash value and shall not exceed the greater of $US 100 or:
$US 20.00/kilogram or $US 9.07/lb for Shipments transported by air
or other non-road mode of transportation; or
$US 10.00/kilogram or $US 4.54/lb for Shipments transported by road
(not applicable to the US).
Claims are limited to one claim per Shipment settlement of which will be
full and final settlement for all loss or damage in connection therewith.
If Shipper regards these limits as insufficient it must make a special
declaration of value and request insurance as described in Clause 8
(Shipment Insurance) or make its own insurance arrangements, failing
which Shipper assumes all risks of loss or damage.
7. Time Limits for Claims
All claims must be submitted in writing to DHL within thirty (30) days
from the date that DHL accepted the Shipment, failing which DHL shall
have no liability whatsoever.
8. Shipment Insurance*
DHL can arrange insurance for Shipper covering the actual cash value in
respect of loss of or physical damage to the Shipment, provided the
Shipper completes the insurance section on the front of the waybill or
requests it via DHLs automated systems and pays the applicable
premium. Shipment insurance does not cover indirect loss or damage,
or loss or damage caused by delays.
*Not available for mail services
9. Delayed Shipments
DHL will make every reasonable effort to deliver the Shipment accor-
ding to DHLs regular delivery schedules, but these are not guaranteed
and do not form part of the contract. DHL is not liable for any damages
or loss caused by delays.
10. Circumstances beyond DHLs control
DHL is not liable for any loss or damage arising out of circumstances
beyond DHLs control. These include but are not limited to: -”Act of God”-
e.g. earthquake, cyclone, storm, flood, fog; ”Force Majeure” - e.g. war,
plane crash or embargo; any defect or characteristic related to the nature
of the Shipment, even if known to DHL; riot or civil commotion; any act
or omission by a person not employed or contracted by DHL e.g.
Shipper, Receiver, third party, customs or other government official;
industrial action; and electrical or magnetic damage to, or erasure of,
electronic or photographic images, data or recordings.
11. Warsaw Convention
If the Shipment is transported by air and involves an ultimate
destination or stop in a country other than the country of departure, the
Warsaw Convention, if applicable, governs and in most cases limits
DHLs liability for loss or damage.
12. Shipper’s Warranties and Indemnity
Shipper shall indemnify and hold DHL harmless for any loss or damage
arising out of Shippers failure to comply with any applicable laws or
regulations and for Shippers breach of the following warranties and
representations:
all information provided by Shipper or its representatives is complete
and accurate;
the Shipment was prepared in secure premises by Shipper’s
employees;

during preparation, storage and transportation to DHL;
the Shipment is properly marked and addressed and packed to
ensure safe transportation with ordinary care in handling;
all applicable customs, import, export and other laws and regulations
have been complied with; and
the waybill has been signed by Shipper’s authorised representative
and the Terms and Conditions constitute binding and enforceable
obligations of Shipper.
13. Routing
Shipper agrees to all routing and diversion, including the possibility that
the Shipment may be carried via intermediate stopping places.
14. Governing Law
Any dispute arising under or in any way connected with these Terms and
Conditions shall be subject, for the benefit of DHL, to the non-exclusive
jurisdiction of the courts of, and governed by the law of, the country of
origin of the Shipment and Shipper irrevocably submits to such
jurisdiction, unless contrary to applicable law.
15. Severability
The invalidity or unenforceability of any provision shall not affect any
other part of these Terms and Conditions.
1. Customs, Exports and Imports
DHL may perform any of the following
activities on Shippers behalf in order to
provide its services to Shipper: (1)
complete any documents, amend product
or service codes, and pay any duties or
taxes required under applicable laws and
regulations, (2) act as Shippers forwarding
agent for customs and export control
purposes and as Receiver solely for the
purpose of designating a customs broker
to perform customs clearance and entry

request by any person who DHL believes
in its reasonable opinion to be authorised.

  4. Neglecting Signature Requirements: Forgetting to sign the waybill or missing the date can invalidate the shipment. Always ensure that the signature section is completed before sending.

  5. Using Inappropriate Payment Methods: Selecting a payment method that is not accepted or available in your country can cause delays. Familiarize yourself with the options that apply to your location.

  6. Ignoring Customs Regulations: Not attaching the necessary customs documentation, such as invoices or VAT numbers, can lead to your shipment being held up at customs. Always verify the requirements for your shipment type.

  7. Overlooking Weight and Dimension Specifications: Incorrectly measuring the weight and dimensions of the package can result in unexpected charges. Use precise measurements to avoid complications.

Documents used along the form

The DHL Waybill form is a crucial document for shipping packages internationally. However, it often works in conjunction with other forms and documents that help ensure the smooth transit of goods. Below is a list of commonly used documents that accompany the DHL Waybill, each serving a specific purpose in the shipping process.

  • Commercial Invoice: This document details the transaction between the seller and buyer. It includes information about the goods being shipped, their value, and the terms of sale. Customs authorities often require it for assessing duties and taxes.
  • Proforma Invoice: Similar to a commercial invoice, this is a preliminary bill of sale sent to buyers in advance of a shipment. It outlines the expected costs and is often used for customs clearance.
  • Customs Declaration: This form is essential for declaring the contents of a shipment to customs authorities. It provides details about the items being shipped, their value, and any applicable duties or taxes.
  • Shipper's Export Declaration (SED): Required for shipments exceeding a certain value, this document provides the U.S. government with information about the export of goods. It helps track exports for statistical purposes.
  • Export License: Depending on the nature of the goods, an export license may be required. This government-issued document grants permission to export specific items, ensuring compliance with export regulations.
  • Insurance Certificate: This document verifies that the shipment is insured against loss or damage during transit. It provides peace of mind for both the shipper and receiver.
  • Dangerous Goods Declaration: If the shipment contains hazardous materials, this declaration must be completed. It provides information on the nature of the hazardous goods and ensures compliance with safety regulations.
  • Certificate of Origin: This document certifies the country in which the goods were produced. It can be necessary for customs purposes and may affect tariffs and duties.
  • Bill of Lading: This is a legal document between the shipper and carrier. It serves as a receipt for the goods and outlines the terms of transportation.

These documents work together with the DHL Waybill to facilitate international shipping, ensuring compliance with regulations and smooth transit of goods. Understanding their purpose can help shippers navigate the complexities of global logistics more effectively.

Similar forms

The DHL Waybill form shares similarities with the FedEx Air Waybill. Both documents serve as a shipping contract between the sender and the carrier, detailing the shipment's origin, destination, and contents. Each form includes sections for payment options, tracking information, and signatures. Additionally, both waybills are non-negotiable and require the sender to declare the value of the shipment for insurance purposes. This ensures that both carriers maintain consistent procedures for handling and transporting packages.

Another document akin to the DHL Waybill is the UPS Shipping Label. Like the DHL Waybill, it includes essential information about the sender and recipient, as well as details about the package being shipped. Both documents facilitate tracking and provide a unique identifier for each shipment. The UPS Shipping Label also contains sections for payment and service options, mirroring the structure and purpose of the DHL Waybill in ensuring secure and efficient delivery.

The International Air Waybill (IAW) is also comparable to the DHL Waybill. This document is specifically used for international shipments and serves as a contract between the shipper and the airline. Similar to the DHL Waybill, the IAW includes details about the shipment's contents, value, and destination. Both documents require compliance with customs regulations and may necessitate additional paperwork for customs clearance, emphasizing the importance of accurate information in international shipping.

In addition, the Commercial Invoice bears resemblance to the DHL Waybill. This document is often required for international shipments and outlines the transaction details between the buyer and seller. While the DHL Waybill focuses on shipping logistics, the Commercial Invoice emphasizes the value and description of goods. Both documents work together to ensure proper customs clearance and facilitate the smooth transit of goods across borders.

The Proforma Invoice is another document similar to the DHL Waybill. It provides a preliminary bill of sale and is used to declare the value of goods for customs purposes. Like the DHL Waybill, it includes details about the sender, recipient, and shipment contents. Both documents are crucial for international shipping, as they help customs authorities assess duties and taxes applicable to the shipment.

The Bill of Lading (BOL) is also comparable to the DHL Waybill. This document serves as a receipt for goods and a contract for transportation. The BOL includes information about the shipper, consignee, and shipment details, much like the DHL Waybill. Both documents are essential for tracking and managing shipments, ensuring that all parties involved have a clear understanding of the terms of transport.

Lastly, the Return Merchandise Authorization (RMA) form shares some characteristics with the DHL Waybill. While the RMA is primarily used for returns, it often includes shipping instructions and details about the sender and recipient. Both documents facilitate the movement of goods and ensure proper handling, although the RMA is focused on returns rather than outbound shipments. The inclusion of tracking information in both documents aids in monitoring the status of shipments throughout the process.

Dos and Don'ts

When filling out the DHL Waybill form, attention to detail is crucial. Here are eight essential dos and don’ts to ensure your shipment is processed smoothly.

  • Do double-check all information for accuracy, including addresses, contact numbers, and account details.
  • Do provide a complete description of the contents being shipped, including quantity and value.
  • Do ensure that the destination address is not a PO Box, as DHL cannot deliver to such addresses.
  • Do sign the waybill to confirm your agreement to DHL’s terms and conditions.
  • Don't leave any required fields blank, especially the postcode/zip code and contact information.
  • Don't forget to include any necessary customs documentation for non-document shipments.
  • Don't declare an insured value that exceeds the actual value of the contents, as this could lead to complications.
  • Don't attempt to ship prohibited items, such as hazardous materials or illegal goods, as this can result in delays or legal issues.

By following these guidelines, you can help ensure that your shipment is processed without unnecessary delays or complications.

Misconceptions

  • Misconception 1: The DHL Waybill is a negotiable document.
  • This is not true. The DHL Waybill is non-negotiable, meaning it cannot be transferred to another party. It serves as a receipt and contract between the shipper and DHL.

  • Misconception 2: You can send cash or dangerous goods using the Waybill.
  • This is incorrect. The Waybill prohibits the shipment of cash and dangerous goods. Attempting to do so can result in serious legal consequences.

  • Misconception 3: All payment options are available in every country.
  • This is a common misunderstanding. Not all payment methods are accessible in every location. It's essential to check which options are available for your specific country.

  • Misconception 4: The Waybill guarantees delivery times.
  • This is misleading. While DHL strives to meet delivery schedules, these are not guaranteed. Factors outside of their control can affect delivery times.

  • Misconception 5: You can ship to a PO Box using the Waybill.
  • This is false. DHL cannot deliver shipments to PO Boxes. You must provide a physical address for delivery.

  • Misconception 6: You do not need to declare the contents of your shipment.
  • This is incorrect. You must provide a full description of the contents on the Waybill, especially for customs purposes. Failure to do so can lead to delays or fines.

  • Misconception 7: The Waybill does not require a signature.
  • This is a misconception. A signature is required on the Waybill to confirm the shipper's agreement to DHL's terms and conditions. This step is crucial for the shipment process.
